A recent survey revealed that over 60% of organisations conduct manual searches each day looking for inventory, whilst a worrying 24% carry out more than ten searches every day.
The impact on the bottom line is all too clear. A third of companies estimate that it costs them nearly £30,000 per annum in labour to locate missing assets, with write-off costs for some organisations reaching almost £300,000 a year.
In stark contrast are those companies who actively manage the lifecycle of their assets. Using specialist automated asset management solutions rather than relying on spreadsheets or even more inflexible and outdated manual approaches, they can typically reduce the cost per asset by 30% in the first year and save over 10% per annum on staff costs.

The Asset-i Control Panel, which is also the welcome screen to the product, is the hub for all navigation. Within a single screen, users are provided with an instantaneous and easy to understand graphical representation of the complete asset register.
From the Control Panel, users can select how they wish to view assets (by group or by location), can add or dispose of assets, see lists of missing assets or view audits.
Frequently used asset types, such as IT equipment, office furniture and motor vehicles, are included as standard in Asset-i, whilst new user-definable asset types are both quick and easy to create. Additionally, within an asset type, users can define their own asset grouping structure to best suit the needs of their organisation.
Within an asset type, users can define their own asset grouping structure to best suit the needs of their organisation. The ‘View by group’ facility allows all assets of a particular type or group to be viewed as a single list, regardless of their location.
Asset-i has been designed to support organisations with a single headquarters as well as those with multiple locations.
All locations have user-definable, unambiguous descriptions to which assets can be assigned. Clicking on a location produces a list of the assets which are located there, and clicking on an individual asset provides full details of the item.
Assets can be moved from one location to another by scanning the asset label or RFID tag using the portable bar code terminal and scanning its new location, or by using the drag ‘n drop facility within the software.
The Asset Record provides a single repository for all the information relating to an individual asset.
In addition to serial and model numbers, manufacturer and condition, service and maintenance histories, the Asset Record, which is designed as a series of clearly labelled tabs, can also store pictures and documents – including technical specifications, user manuals and warranties.
No matter how many times the asset is moved, all the essential information relating to it, throughout its lifecycle, is kept safely within the Asset Record. This also includes relevant financial data such as depreciation and service history.
The ability to quickly and accurately audit the asset base offers enormous time and cost savings.
Using the portable terminal, the user only has to scan the items found at a particular location. Gone is the need to identify, (often incorrectly) individual items, look them up on a paper list and tick them off.
When the audit data is uploaded, Asset-i automatically summarises the information by each individual location where exceptions can be identified and dealt with instantly. This is a painstaking and error-prone process with a manual or semiautomated system.
New assets can be entered in a number of different ways.
Registration directly through the Control Panel provides the user with a simple form to complete with the unique asset number, location and the group to which it belongs.
If multiple assets of the same type have been acquired at the same time, a single registration can be copied limitless times to avoid having to re-key the information. Alternatively, assets already in position can be labelled and then scanned and registered using the handheld terminal.
For those organisations that have existing asset lists, the data can be imported directly into Asset-i.
In the first year Asset-i has reduced our expenditure by £50,000, we simply couldn’t operate without it.
Since the recent installation of Asset-i we have already recovered missing assets amounting to several thousands of pounds.
Being able to audit quickly and effectively not only save huge amounts of time, Asset-i also enables us to maintain full control of our asset register.
Asset-i is very straightforward and easy to use.
The use of barcodes has made items much easier to identify and also cut down on theft.
